Student Expense Claim

Students wishing to apply the designated portion of the Center Fee to an independent study project, internships or the Junior research Project during spring semester may petition his or her Faculty Adviser to apply these funds toward educational activities within China that facilitate a better understanding of Chinese culture.

The student must submit receipts and/or invoices for all approved expenses by the last day of each month to the cashier for the duration of the project. The student should paste these orderly on an A4 sheet of paper with the month and full name of the student printed legibly in ink on the upper right corner of each sheet. If the date or amount is not legible on the receipt, the student should write the amount neatly on the receipt. Next, the student should download the Student Expense Claim Form, and fill out her or his name, independent study project name, date submitted, and the date each expense occurred, a brief description of each expense, and amount in the space provided. Leave the budget category blank, as this will be filled out by the cashier according to standard categories stipulated by Long Island University.

This form should be submitted together with all receipts to the cashier by the end of each month for verification. All student expense claim forms must first be approved and signed by the Academic Director before the cashier is authorized to reimburse students in CNY directly into her or his Bank of China account, typically in the first week of the following month. Receipts other than those for the current month will not be reimbursed. Any funds reimbursed in cash must be signed for by the student. Students are recommended to download the form in Microsoft Excel and fill out before printing, as the total amount is automatically calculated in CNY for convenience and accuracy.
